Planning a biometric attendance system for daily use

Define attendance rules first

List working days, shifts, grace periods, breaks, overtime and holiday rules before enrollment. Different departments may need different schedules.

Decide who can approve corrections and how missed punches will be handled. The device records events; the organisation still needs a clear process for exceptions.

Choose a practical device location

Place the device where staff naturally enter without creating a queue or allowing easy attendance for another person. Confirm power, network availability and protection from direct rain, dust or harsh sunlight.

Face devices need a suitable viewing height and lighting. Fingerprint devices need clean enrollment and an alternative method for users whose fingerprints are difficult to read.

Prepare enrollment and employee records

Use a consistent employee ID and verify names, departments and joining details before enrollment. Duplicate or incomplete records create reporting work later.

Explain the correct way to present a finger, face or card. Test each employee after enrollment instead of assuming the first stored sample will work every day.

Plan reporting, backup and responsibility

Select the reports that payroll or administration actually needs and schedule a regular export or review. Confirm who is responsible for adding employees, changing shifts and correcting records.

Keep configuration and attendance backups according to the supported system. Protect administrator passwords and limit access to personal attendance data.
